Word compare example: wording, an insertion, and a removal

A short policy paragraph with one edited line, one new line, and one deleted line.

Open Word Compare to run this case yourself.

Version 1

Scope: production database only.
Backups run nightly.
Access is approved by the operations lead.
Legacy VPN access remains in place.

Version 2

Scope: production and staging databases.
Backups run nightly.
Access is reviewed by the operations lead.
A rollback note is required before the change window.

The problem

Two DOCX files arrive without Track Changes. You need the wording deltas, not the comment thread. Word Compare reads paragraph and table text from the file. It does not load revision authors, comments, or formatting.

What changed

Changed wording: “production database only” becomes “production and staging databases”, and “approved” becomes “reviewed”. The backup line is unchanged, so it stays unmarked if the extracted lines match.

Removed content: “Legacy VPN access remains in place.” is only in version 1, so it is a removed line.

Inserted content: “A rollback note is required before the change window.” is only in version 2, so it is an added line.

A style-only edit—the same words in bold, or a different font—does not appear. That is a limitation of text extraction, not a statement that the visual change is unimportant.

When this tool may not be the right choice

  • Pixel-level or layout comparison. Images, text boxes, and section formatting are outside the extracted text.
  • You need Track Changes metadata: who edited a run, and which comment is still open. Open the file in Word for that.
  • The source of truth is still a PDF export. Use PDF Compare on the PDFs, knowing that path is also text extraction rather than a visual proof.

Processing and privacy

PDF, Word, and Excel comparison run on the server for the request that submits the form. Each file is read from PHP’s temporary upload path. CompareStack does not copy the upload into a user account, a document database, or application storage. PHP deletes that temporary file at the end of the request when the application has not moved it. The result is the HTML response; there is no saved comparison history. Application logs can still contain the IP address, the requested URL, and—if extraction fails—the exception message. That is not the same as storing the file.

The Privacy Policy and how processing works are the full description.
